The Clinical Research Billing Specialist will report to the VP of Research and VP of Revenue Cycle Management and will play a critical role in ensuring accurate and compliant billing for clinical trials across our network of investigators. This role requires strong attention to detail, financial acumen, and a solid understanding of clinical trial processes.
The Clinical Research Billing Specialist will work closely with sponsors, investigators, study teams, and the finance department to ensure proper billing practices, compliance with regulatory requirements, and timely collection of study-related revenue. The primary responsibility is to support the financial integrity of clinical trials through accurate budget implementation, billing reconciliation, and payment tracking.
Responsibilities
• Billing & Financial Management:
• Review clinical trial protocols, contracts, and budgets to establish accurate billing plans.
• Ensure all study procedures are billed correctly to the appropriate payer in compliance with coverage analysis.
• Generate and submit invoices to sponsors according to contract terms and billing schedules.
• Monitor accounts receivable and follow up on outstanding payments.
• Study Budget Implementation:
• Collaborate with Contract Specialists and study teams to interpret clinical trial budgets and payment terms.
• Ensure accurate setup of study budgets within internal systems.
• Track study revenue against budget to identify discrepancies.
• Compliance & Regulatory Oversight:
• Ensure billing practices comply with federal, state, and local regulations.
• Maintain audit-ready documentation supporting all billing activities.
• Assist with internal and external audits.
• Reconciliation & Reporting:
• Reconcile payments received against study milestones and invoiced amounts.
• Investigate and resolve billing discrepancies.
• Prepare financial reports related to study performance.
• Stakeholder Communication:
• Serve as a point of contact for billing-related inquiries.
• Provide regular updates on billing status and collections.
• Collaborate with research coordinators, finance, and leadership.
Qualifications
Bachelor's degree preferred in accounting, finance, healthcare administration, or related field.
Minimum of 3 years of relevant experience in billing, finance, or accounting.
Skills
Strong analytical and problem-solving skills.
Excellent organizational abilities.
Effective communication skills.
Proficiency in Microsoft Office and financial systems.
Knowledge
Familiarity with clinical trial processes.
Understanding of clinical research billing compliance.
Knowledge of budgeting, invoicing, and financial reconciliation.About the company
