      F5’s Global Workplace Solutions (GWS) team provides real estate and operations solutions globally.       Position Summary

      This position contributes to F5’s success by Coordinating along with other Global Workplace Solutions team members who specialize in Office Supply, Amenities program and Vendor management for the Warsaw office. As well as assisting as necessary with Reception, Corporate Mail, Shipping and Receiving. The position is 100% office-based and is offered as a 1-year contract with the possibility of extension.

      Primary Responsibilities

      Duties related to Reception, Events, Shipping & Receiving Duties; Coordinator for tasks from GWS divisions as assigned.

      Coordinator Role Duties

      • Coordinate with GWS EMEA and Seattle team to assist with facilities-related projects, events, tasks, issues and duties as needed in the Tokyo office.

      • Coordinate with vendors and escort them as needed to complete facilities-related tasks in the office.

      • Coordinate with beverage vendors to refill vending machines and water dispensers.

      • Coordinate with GWS EMEA to update Archibus/finder with current desk locations as needed.

      • Coordinate with building management to comply with fire and disaster prevention requirements.

      • Manage the resupply of office supplies, letterhead and business cards for the office.

      • Monitor ServiceNow tickets for the Warsaw office and help to solve them on time.

      • Perform other duties as assigned, which may include various set-up, moving, clearing, clean-up and organizing, duties related to personnel changes, unexpected workplace scenarios or special events.

      Security Coordination

      • Manage office access. Issue visitor and temp badges. Manage mobile credentialing and issue new badges as needed. Coordinate with the Seattle GWS security team as needed.

      • Obtain a Security access log from the building landlord and back up monthly.

      • Coordinate with the Global GWS Security team for audits and other security-related tasks.

      Shipping & Receiving Duties

      • Complete Shipping, receiving and mail services needed in the office.

      • Receive delivered parcels and deliver them to the office recipient.

      Reception Duties

      • Greet, check-in, and direct guests, vendors, F5 and other building employees.

      • Answer phones, emails, and complete miscellaneous administrative duties.

      • Responsible for upholding F5’s Business Code of Ethics and for promptly reporting violations of the Code or other company policies.

      • Watch for and report security incidents and safety concerns.

      Qualifications, Knowledge, Skills and Abilities

      • Strong Microsoft Suite skills

      • Excellent customer service, communication, and follow-up skills

      • Understanding of corporate office operations and facilities management tasks.

      • Understanding how to use Audio/Visual technology.

      • Vendor management experience

      • Best practices for reception services knowledge

      • Must be able to communicate in English (written and oral).
