Job Description
- Req#: 24042
- Training all staff in the use and protocols of the document control filing system as necessary.
- Managing and updating a document control system to ensure that general program administrative and individual project documents are properly recorded and maintained, requests for information are transmitted and responded to, and approvals or denial of approvals are recorded and communicated.
- Maintaining a uniform filing system.
- Establishing document logs to track the processing of specific control documents.
- Maintaining a system and procedures for the baseline, revision, and distribution of controlled documents.
- Managing off site storage.
- Implementing and following quality assurance program.
- Having experience in change management, project delivery processes, vendor and construction turnover packages, CQV and or PQ/PV documentation administration.
- Providing diary and email management for the project director and project teams as and when required.
- Organizing internal and external meetings and arranging presentations, documents, equipment and refreshments as required.
- Issuing and dealing with confidential documents and staff issues where appropriate.
- Arranging travel and itineraries.
- Ensuring the project directory is up to date.
- Providing QA check all information coming on to the system and process accordingly.

The Opportunity
Mace is seeking a full-time document controller for life science and industrial manufacturing projects to work directly with our clients on capital projects.
The role requires full, effective and timely support of project administration and document control to the project team. A dual role document controller/project administrator requires a confident, well organized, efficient administrator who is able to work as part of a team and on their own initiative. Your project team will depend on you to ensure the efficient running of the project office and document management. Your role is to support your team to ensure that they are able to carry out their role.

You have excellent IT skills covering Excel, Word, Outlook, Powerpoint. You are familiar with and experienced in using web-based applications/software in relation to document control. You will have experience working in construction projects/programs within a construction or consultancy background in the life sciences and industrial manufacturing sector and be hungry to grow your career and enjoy the opportunities Mace has to offer.
