      The Event Planner will plan, implement, and facilitate all aspects of events for the Offices of Medical Student Education with the aim of ensuring event objectives, deliverables and timelines are met and exceed expectations. Reporting to the Senior Director of Medical Student Education, this position plays a critical role serving as a hands-on administrator, providing on-site logistics management for internal and external events. Serve as the primary liaison for UNC facilities, parking, and public safety services as relates to on-campus events. Responsible for the hands-on preparation, set-up, clean-up and close out of the event. Ensure AV equipment, tables, chairs, and other event related equipment are configured appropriately for the space and function. Purchase event supplies. Arrange travel and hotel accommodations and submit expense reports for speakers and guests. Establish and cultivate relationships with a broad range of external and internal constituencies. Collaborate with committees and staff liaisons to establish dates and locations for future meetings, activities, and events. Create project timelines, track milestones and synthesize data. Establish and provide effective communications for ongoing activities. Develop and communicate event registration process and calendar development; manage attendee lists, create and facilitate reservation and payment options, and track attendance. Ensure proper and timely communication to staff of general and specialized guest lists. Coordinate with event communications each event including online, print and social media. Manage event budgets from development through to final reconciliation. Ensure all event budgets are executed within the pre-approved budget limits. Review, track, and reconcile all event expenses, taking into consideration budgetary overages and dynamic changes. Recruit and train event volunteers as needed. Coordinate all aspects of scheduling, task assignment, and job direction as needed. Other duties as required.
