Job Description
• Check and organize inbox daily (Decision Needed, Response Needed, Delegate, Follow-Up, FYI)
• Follow up on requests and pending approvals
• Schedule meetings, resolve conflicts, and confirm attendance
• Send meeting reminders and links
• Create and maintain documents, notes, and templates
• Organize files and folder structures
• Update trackers, spreadsheets, and internal lists
• Track daily priorities, deadlines, and deliverables
• Maintain a running to-do list with status updates
• Provide basic project coordination and follow-up
• Prepare meeting agendas and materials
• Distribute meeting notes and action items
• Review estimates to ensure profitability margins
• Conduct research (venue rules summaries, vendor comparisons, quick research tasks)
• Verify vendor invoices against purchase orders; coordinate with team members on discrepancies and route approved invoices for payment
Skill Set
• Strong written and verbal communication skills • Highly organized and detail-oriented • Experience managing calendars and inboxes • Ability to work independently and take initiative • Proficiency with Google Workspace (required) and familiarity with Monday.com (preferred; training available) • Strong Excel skills, including formatting, formulas, and data exports • Solid math skills, including applying formulas to calculate profit margins and determine costs using templates • Must be Residing in the PhilippinesAbout the company
