Description
We are seeking a detail-oriented and experienced Pre-Award Specialist to support our research administration team on a temporary, part-time, remote basis. The ideal candidate will have a strong background in pre-award grant administration, including proposal preparation, budget development, and submission of grant applications to federal and non-federal sponsors.
This is a critical support role, ideal for someone who is self-motivated, thrives in a fast-paced environment, and can work independently with minimal supervision.
• Up to 20 hours per week
• 100% remote; must have reliable internet access.

Examples of Duties
• Coordinate and manage the preparation and submission of grant proposals, ensuring compliance with sponsor guidelines and institutional policies.
• Assist principal investigators (PIs) with budget development, justifications, and required documentation.
• Review sponsor guidelines and interpret administrative requirements.
• Review proposals and sponsored project award documents to assure compliance with federal, state and university guidelines.
• Collaborate with internal departments for routing and approvals.
• Upload and submit proposals via sponsor portals (e.g., Grants.gov, NIH ASSIST, NSF Research.gov).
• Track deadlines and maintain accurate proposal records.
• Respond to Pre-Award related questions from faculty and staff.
Qualifications
• Bachelor's degree
• Minimum 2-3 years of experience with pre-award proposal review and submission, preferably in a university, academic medical center, or research institution.
• Familiarity with federal grant application systems (e.g., NIH, NSF, DOE, DoD).
• Strong organizational skills and attention to detail.
• Ability to manage multiple deadlines and competing priorities.
• Excellent written and verbal communication skills.
• Proficient with Microsoft Office Suite and online submission portals.
Preferred Qualifications:
• CRA (Certified Research Administrator) certification.
• Experience with electronic research administration systems (e.g., Cayuse, InfoEd, Kuali).

About Extra Help Positions:
Extra Help employees are appointed to fulfill casual or emergent needs within the university. The amount of time for which services are needed is not usually predictable and payment for work performed is on an hourly basis and based on actual hours worked. Workdays and hours may vary according to departmental requirements. Extra help appointments may be utilized for a maximum of 900 hours of actual work in any consecutive 12 calendar months.
