      The Internal Event Coordinator plays a vital role in advancing the mission of the Event and Hospitality Services department by delivering authentic, experience-driven support to campus partners. As a self-motivated and adaptable professional, this individual thrives in a fast-paced, customer service-focused environment and demonstrates the organization, creativity, attention to detail, and follow-through necessary to uphold the department’s commitment to excellence.

      Serving as a liaison between students, faculty, staff, and university service providers, the Internal Event Coordinator creates and manages reservations for on-campus clients utilizing Event and Hospitality Services spaces, including outdoor venues and other campus locations, ensuring appropriate space selection and seamless execution. The Coordinator helps execute meetings and events, including evenings and weekends, to ensure every experience reflects the department’s values of service stewardship, collaboration, transparency, innovation, trust, and respect. Through committee involvement and strategic campus partnerships, this role supports optimized space utilization while reinforcing the department’s dedication to professional standards and meaningful campus engagement.

      OVERVIEW AND ROLE SCOPE OF TEAM AND/OR TASKS

      • Accurately manages and schedules all reservations and layouts for on-campus guests through 25 Live scheduling software.
      • Organize, contract, and maintain proper planning paperwork for internal events.
      • Serves as a liaison between guests and Catering Services to insure guest’s food service requests are being met. Provides assistance in using the catering order software, CaterTrax.
      • Manages meetings and events by understanding the scope of event, timelines, and by determining facility and technology needs.
      • Effectively communicates and coordinates technical, facilities and custodial needs with appropriate campus departments.
      • Supervises the execution of all on-campus guest events and meetings.
      • Delivers and maintains high-quality, seamless, and exceptional service for guests and initiate conversations to ensure that their needs are being met while hosting events at CMU.
      • Responsible for proactively resolving issues related to on-campus meetings and events, including real-time troubleshooting and exercising sound judgment in compliance with University policies and procedures, while maintaining a calm, service-oriented approach.
      • Works with the External Event Manager to run and analyze campus space utilization reports to improve marketing strategies and determine any budget implications and recommendations.
      • Assists in the recruiting and supervision of the student Administrative Staff at the front desk.
      • Communicates and provides direction for student Administrative Staff in regards to their daily tasks and on-campus guest needs to ensure quality customer service.
      • Reviews event sheets to familiarize self with all events and meetings occurring in event spaces across campus; ensures that facility appearance and event set-ups are consistent with requests.
      • Identifies needs and makes recommendations for quality improvement that creates value for on-campus guests.
      • Uses discretion in managing and purchasing of office supplies, including copier needs.
      • Cross trained in executing large off-campus guest events in order to provide backup support for the department.
      • Ability to navigate policies and make strategic decisions regarding revenue generating guests, reduce rental guests, and non-revenue generating guests.
      • Provides input to business objectives for long term goals including annual budget.
      • Responsible for developing, updating, and implementing policies and procedures for the Event and Hospitality Services department.

      ESSENTIAL EXPERIENCE FOR RIGHT FIT

      • Bachelor’s degree from an accredited institution
      • A minimum of 1 year of experience in scheduling facilities or event planning
      • Demonstrates experience in budget, marketing, and personnel management
      • Excellent customer service, communication, organization, and problem solving skills
      • Experience working with a diverse group of students and staff
      • Attention to detail and ability to manage multiple tasks at the same time
      • Sound computer and administrative skills
      • Demonstrated ability to positively represent Event and Hospitality Services and Colorado Mesa University
      • Ability to learn and use scheduling software (25 Live is current University software)
      • Flexibility to work evenings and weekends
      • Familiarity with office procedures and scheduling software such as 25 Live is preferred.
