      Job Description:

      The Community Solution Education System's Legal Operations Specialist will play a key role in optimizing legal processes, managing technology solutions, ensuring System compliance, and enhancing overall efficiency within the legal department. Under the supervision of the Managing Counsel and department attorneys in the Office of Legal Affairs, this position offers the opportunity to work in a dynamic and collaborative environment, contributing to the success of our organization.

      The Office of Legal Affairs has seven institutional clients comprised of a System Office and six Institutions of higher education.

      Position responsibilities include, but are not limited to:
      • Provide support to a team of attorneys regarding litigation, pre-litigation, and other legal matters through the following responsibilities:
        • management of cases;
        • preparation of legal documents and communications; researching legal issues, responding to subpoenas and record requests;
        • managing process for legal holds and garnishments;
        • analyzing facts and documents;
        • coordinating discovery processes and witness interviews;
        • communicating with client(s);
        • organizing and maintaining case files;
        • coordinating work with others;
        • assisting with filing documents in judicial and quasi-judicial venues; and
        • providing other litigation support, as needed.
      • Provide support to legal counsel and finance teams on insurance administration, including obtaining certificates of insurance and surety bonds, and assisting, as needed, with document collections for annual insurance renewals.
      • Oversee the implementation and administration of legal technology solutions - including main platform for receiving requests from institutional clients for legal assistance and review, policy management, and matter management - and collaborate with IT to ensure seamless integration and functionality of legal tools.
      • Assist the office with its corporate governance, business entity management, state authorization, and professional license and other regulatory compliance functions.
      • Manage the processing and approval of legal invoices, records for subscriptions accounts, and ensure accurate and timely payment to vendors.
      • Coordinate updates to and maintenance of the legal department's SharePoint site and ensure that content is current, accurate, and aligns with organizational branding.
      • Manage calendars and schedules, coordinate and schedule meetings, and other events.
      • Serve as a notary public as needed if already credentialed.
      • Serve as a point of contact for receiving, processing, and distributing mail and deliveries intended for the office.
      • Perform other related or administrative support duties as assigned.


      Required Qualifications:

      Knowledge and Skills
      • Familiarity with legal technology solutions and workflow automation.
      • Ability to work collaboratively in a fast-paced environment.
      • Strong analytical and problem-solving skills.
      • Excellent communications skills including verbal, written, and interpersonal skills
      • Aity to navigate a cross-matrixed organization and work collaboratively with all stakeholders.
      • Ability to work on multiple projects simultaneously under limited supervision with efficiency and considerable latitude for the use of initiative and independent judgment.
      • Ability to assist in the management of the legal regulatory requirements that affect and impact higher education institutions.


      Education:
      • Associate or bachelor's degree in legal or paralegal studies or completion of an accredited paralegal program.


      Experience:
      • Five to seven years of proven experience in legal operations or a similar role in a law firm, an in-house legal or government legal agency setting


      Working Conditions:

      Ability to work some evenings, weekends, and travel as needed.

      Ability to respond to short deadlines.
