      Loomis Chaffee is seeking an experienced full-time Mailroom and Physical Plant Assistant to join our community.

      The Mailroom & Plant Assistant is responsible for the proper distribution and processing of incoming and outgoing mail and for the safe, professional, and reliable operation of event set‑ups across campus. The role also provides support to other campus departments as needed.

      Key Accountabilities

      Mail & Package Operations

      • Sort and distribute U.S. mail for students and employees to mailboxes in the mailroom.
      • Receive, sort, and distribute all UPS, FedEx, and other shipped packages for the school community.
      • Fill out package notification slips and place them in mailboxes.
      • Handle and ship packages weighing up to 50 pounds daily, with increased volume during peak periods.
      • Receive packages daily and move 250–350 packages per day, including items weighing over 50 pounds.
      • Track and maintain records and logs of mailing activity.
      • Inventory and order mailing supplies and materials.
      • Complete large mailings as requested by administrative department heads.
      • Set up new mailboxes for incoming faculty and students.
      • Weigh and provide postage for outgoing mail and packages for USPS, UPS, and FedEx.
      • Check postal rates and weigh outgoing mail.
      • Post shipping labels on packages and complete shipping forms.
      • Arrange courier services for package delivery.
      • Replenish post office forms and maintain postage supply.
      • Record postage meter readings daily.
      • Perform other mailroom duties as assigned.

      Event & Furniture Support

      • Transport, set up, break down, and arrange tables and chairs for events across campus, indoors and outdoors, in all seasons.
      • Support all school‑scheduled and special events.
      • Transport, set up, break down, and arrange furniture in dorms to support student life, summer programs, and special events.
      • Make recommendations for repairs or replacement of furniture and assist in maintenance to improve condition, appearance, and life expectancy of equipment used for set‑ups and storage.
      • Properly set up materials and equipment to ensure safe completion of work and protect surrounding areas.
      • Maintain compliance with Life Safety Code requirements.

      General Physical Plant Support

      • Move and deliver materials, office supplies, and equipment as needed.
      • Support Physical Plant staff, other personnel, and contractors to ensure effective and efficient maintenance of campus facilities.
      • Assist with snow clearing and removal.

      Additional Campus Support

      • Assist in the bookstore as needed, including stocking, organizing, and supporting customer service functions.
      • Perform housekeeping duties as needed, including cleaning, organizing, and supporting campus facility upkeep.

      Position Requirements

      Skills & Knowledge

      • General computer knowledge.
      • Standard office practices and procedures, including use of standard office equipment.
      • Use and minor maintenance of mailroom equipment.
      • Knowledge of postal and shipping rates and regulations.
      • Basic record‑keeping practices.
      • Basic business arithmetic.
      • Ability to communicate effectively with students and members of the community.

      Experience

      • Experience in the operation of a mailroom preferred.

      Education

      • High school diploma or equivalent.

      Physical Requirements

      • Ability to routinely lift, carry, and walk with objects up to 50 pounds occasionally, up to 20 pounds frequently, and up to 10 pounds constantly.
      • Ability to stand and walk for up to 8 hours per day.
      • Frequent and repeated bending, twisting, and reaching above the head.
      • Ability to perform repetitive hand and arm motions.
      • Ability to bend, crouch, and kneel.


      Work Environment

      • Campus‑wide; includes indoor office environments, outdoor event spaces, dormitories, and other campus facilities.
