      Job summary

      To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.

      To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.

      Main duties of the job

      The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

      Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.

      Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

      Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of clerical and secretarial support to clinical staff and other members of the Practice team.

      Facilitate effective communication between patients, members the primary health care team, secondary care, and other associated healthcare agencies.

      • We are an established training and teaching practice located in large friendly village of Marple, South Stockport, with a patient list size of c7,000.
      • Our team comprises 2 GP Partners, 2 salaried GPs, supported by a multidisciplinary team including 2 Practice Nurses, 2 HCAs, a First Contact Practitioner, and an Advanced Clinical Practitioner, alongside experienced and skilled administrative staff.

      The duties and responsibilities to be undertaken by members of the Practice Reception Team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Practice Manager, dependent on current and evolving practice workload and staffing levels.

      Reception

      Maintain and monitor the practice appointment system.

      Process personal, telephone and e-requests for appointments

      Answer incoming phone calls, transferring calls or dealing with the callers request appropriately.

      Enter requests for home visits into the clinical system, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor

      Signpost patients to the correct service

      Initiating contact with and responding to, requests from patients, team members and external agencies

      Clinically code data on EMIS Web clinical system

      Photocopy documentation as required.

      Data entry of new and temporary registrations and relevant patient information as required.

      Input data into patients healthcare records as necessary

      Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team.

      Manage all queries as necessary in an efficient manner.

      Carry out system searches as requested.

      Maintain a clean, tidy, effective working area at all times.

      Monitor and maintain the reception area and notice boards.

      Support all clinical staff with general tasks as requested.

      Handing completed repeat prescriptions to patient and checking names and address. Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same

      Taking messages and passing on information

      Keeping the reception area, noticeboards, and leaflet dispensers tidy and free from obstructions and clutter

      Provision of refreshments for staff and visitors as required, loading and emptying the dishwasher and keeping the kitchen area clean and tidy.

      Administration

      Opening up/lockingup of Practice premises and maintaining security in accordance with Practice protocols

      To have a thorough knowledge of all Practice procedures.

      To work in accordance with written protocols

      Photocopy as requested.

      Processing and distributing incoming (and outgoing) mail.

      Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually.

      Sort and distribute accordingly any correspondence and records received in the weekly delivery from Patient Services.

      Computer Systems

      Computer data entry and medical records.

      Process patients change of address computer data and medical records (have knowledge of Practice area)

      Check, monitor and deal with items as they appear in the GP links system.

      Scanning patient documentation into our computer system

      Process Patient notes and correspondence:

      Regularly review all personal & practice email in boxes for important information

      Register new patient information onto practice clinical system.

      Financial records

      Keep accurate and detailed records of petty cash transactions.

      Secondary responsibilities

      In addition to the primary responsibilities, the Receptionist may be requested to:

      Partake in audit as directed by the audit lead.

      Support administrative staff, providing cover during staff absences
