Develop and implement a comprehensive meetings and events strategy that supports WVP’s organizational goals and professional development initiatives.

Partner with leadership, business development, recruiting, and operations teams to design impactful events that support company growth and engagement.

Manage program logistics and participant coordination for internal training programs such as WVP Dental U and other company initiatives.

Plan and execute multiple meetings and events simultaneously, managing all logistical elements including:

Request for Proposals (RFPs), venue sourcing and selection, contract negotiation, budget management, vendor coordination, on-site execution, post-event reconciliation and reporting

Coordinate event production including audio/visual, staging, technology needs, and event materials.

Design and manage attendee experience including registration, communications, and attendee flow.

Develop detailed operational plans and manage on-site teams to ensure seamless event execution.

Build and maintain strong relationships with third-party vendors including hotels, venues, transportation providers, catering partners, registration platforms, and production teams.

Negotiate contracts, pricing, and concessions to ensure optimal value and service quality.

Partner with internal stakeholders to align event objectives, manage expectations, and ensure successful program outcomes.

Collaborate with the procurement team on sponsorship opportunities and conference partnerships.

Develop and manage event budgets, ensuring cost-effective delivery while maintaining high-quality standards.

Track financial performance across events including budget forecasting, expense monitoring, and reconciliation.

Review and verify vendor invoices and hotel billing to ensure accuracy prior to approval.

Provide post-event financial analysis, metrics, and reporting.

Oversee online event registration systems including:

Registration site development, attendee communications, event promotion and save-the-date campaigns, reporting and attendee tracking

Manage event websites, communications, and participant engagement tools.

Maintain accurate attendee records and respond to attendee inquiries.

Analyze event performance using surveys, attendance data, financial metrics, and stakeholder feedback.

Develop post-event reports that provide insights and recommendations for future events.

Continuously refine event processes and best practices to improve efficiency, attendee experience, and ROI.

Ability to align event strategy with organizational goals and growth initiatives.

Skilled at managing multiple complex events simultaneously while maintaining timelines, budgets, and quality standards.

Proven ability to negotiate contracts, manage vendor partnerships, and deliver high-quality service experiences.

Strong budgeting, forecasting, and financial reconciliation capabilities.

Exceptional attention to detail with the ability to oversee logistics, technology, and on-site execution.

Effective communicator with strong interpersonal skills and the ability to collaborate across all levels of the organization.

Able to anticipate challenges, resolve issues quickly, and adapt in fast-paced environments.

Skilled at designing engaging and seamless event experiences that maximize participation and value.

Bachelor’s degree in business administration, Hospitality Management, Event Management, or related field

5+ years of professional meeting and event planning experience

Demonstrated success managing corporate events, conferences, and training programs

Strong written and verbal communication skills

Exceptional organizational and project management abilities

Ability to collaborate effectively across teams and leadership levels

Self-directed with the ability to manage competing priorities in a fast-paced environment

Willingness and ability to travel as required

Experience with corporate travel management (Concur highly preferred)

Following acquisition, WVP partners with its hospitals to support the non-clinical side of the business by providing industry-proven operational, financial, and administrative services.
We are seeking an Denver based, Meeting and Events Planner to join our team. This role will be responsible for developing and executing WVP’s meetings and events strategy, supporting organizational growth, connections, and collaboration across the company.
This individual will oversee the end-to-end planning, execution, and evaluation of corporate meetings, conferences, and training programs, ensuring each event delivers a high-quality experience, supports business objectives, and aligns with company goals.
This role will support a hybrid work schedule (2 days/week in Denver office), with travel as needed.

Our salary ranges are primarily determined by role, level, and location. The range provided for each job posting reflects the minimum and maximum target salaries for the position across all US locations. The salary range for this opportunity is $80,000 - $100,000 annually. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. The Company offers competitive compensation along with a comprehensive benefits package, including medical, dental, and vision benefits, vacation, sick leave, 401(k), and more depending on location. You will be provided more detailed information about compensation and benefits for your specific location.
