      SCOPE OF POSITION:

      The Patient Access Site Supervisor reports to and supports the Patient Access Director. The incumbent must be able to navigate and understand the multiple systems used by the Patient Access staff, to include insurance eligibility, ED Tracking System, and the ADT system used for registration and scheduling. This position is accountable for maintaining and managing appropriate staffing as identified by the daily productivity reports with the assistance of the department supervisors and provide the director of any potential issues that arise within the department or with ancillary areas. The Site Supervisor will work with the respective director to oversee policies and procedures pertaining to the daily registration functions, making recommendations for efficiencies and improvements and providing feedback and accountability to the registration staff and supervisors when the need presents and providing guidance and feedback as it pertains to timely and accurate completion of performance evaluations and reviewing and completing employee time recordings. Provides assistance to staff as pertains to performance criteria. The Site Supervisor will work with the leadership in each area to ensure KPI's are met. The position requires excellent communication/interpersonal skills to establish and maintain cooperative relationships with patients, families, physicians and staff, internal and external.

      RESPONSIBILITIES:

      • Oversees work production in registration areas by determining appropriate staffing (as identified by the Labor Production metrics, distributing and delegating tasks to appropriate staff and following up with tasks for completion to ensure that all responsibilities of their area of supervision are fulfilled.
      • Provides technical support to registration staff for specified area (ER, Central Registration, Scheduling and Insurance Verification) by acting as a resource for their area and responds to policy and procedure inquiries from staff and other areas.
      • Resolves staffing issues working with the supervisors to post schedules in a timely manner, granting/denying time off according to hospital and department policy, and maintaining adequate staffing in all registration areas.
      • With assistance and guidance from the respective Director, interviews potential candidates for vacant positions with department supervisors.
      • Performs orientation and training of new employees to the specific policies and procedures of their area by developing and revising the training material as necessary.
      • Performs chart audits routinely and provides employee feedback and retraining when needed.
      • Performs all responsibilities of Registrar/Scheduler with the same expectations as outlined in the Performance Evaluations specific to their staff.
      • Accurately Completes Payroll for select area, submits in a timely fashion, and makes corrections when applicable.
      • Responds to inquiries from other departments (HIM, PFS, Care Management) promptly.
      • Organizes and facilitates Staff meetings at the discretion of the Director.
      • Maintains office equipment and supplies for respective area of Patient Access
      • Responsible for initiating action to meet department goals as related to time of service collections determined by Waterbury Hospital benchmarks.

      REQUIREMENTS:

      EDUCATION/CERTIFICATION:

      · High School Diploma or GED equivalent required.

      EXPERIENCE:

      · Have at least 2 years experience working in Patient Access.

      · Have 2 years of supervisory experience

      · Also, must have knowledge of the different areas of Patient Access (i.e. ER, Outpatient, Inpatient and Pre-Registration, Scheduling, Authorizations.)

      COMPETENCIES:

      · Must have access to reliable transportation to travel between multiple work sites; and travel is required in order to perform essential duties.

      · Microsoft Word and Excel knowledge preferred.

      · Excellent written and verbal skills, as well as customer service expertise is required.
