Manage the agenda, meeting materials, and follow up actions for the site project portfolio management meetings
Work with project sponsors, project leaders, and project managers to collect and enter key information on new project requests
Maintain accurate project portfolio data through ongoing analysis, education, and active collection of data from business leads, project owners and project managers
Prepare reports of project portfolio data as requested for site leaders and organizational stakeholders to drive decisions and advance projects as well as for general awareness across the site
Use knowledge of current portfolio activities and site capabilities to analyze and provide insights on new project requests including portfolio risks, constraints, and opportunities
Work with the PMO leader to develop, roll out, and refine portfolio processes including development and delivery of guidance documents, training, and coaching to new and existing users
Maintain an organized and accessible library of portfolio project documentation
Assist as needed in documenting, maintaining, and reporting of project management data such as issues/risks, project status and action items
Support meeting planning and facilitation by scheduling meetings, tracking attendance, and distributing agendas and meeting notes
Support the planning and delivery of minor projects, work products or sub-teams
Facilitate overall project communications through build out/maintenance of information on the project SharePoint repository
Promote a culture of collaboration, cross-functional problem solving and continuous improvement
Support the onboarding of new PMO resources and project leaders
Participate in and lead other PMO team-based assignments
Bachelor’s degree or equivalent experience preferably in engineering, science, information technology, business, or a related field
3+ years of relevant business experience preferably in life sciences
Basic knowledge of financial, operational, and business management principles
Excellent verbal and written communication skills
Able to interact and communicate effectively across multiple functions and reporting levels
Able to manage time and tasks independently across competing priorities in order to meet target dates
Highly proficient in Microsoft Office & Outlook, Teams with experience using SharePoint
1 year project coordination or project portfolio management experience
Awareness and interest in project management processes and methodologies.
Exceptional organizational skills for efficient management of a high volume of information
Strong analytical and reasoning skills with high attention to detail and follow up
Comfortable working in a rapidly changing environment. Able to prioritize across competing demands.
A passion for learning and improvement including demonstrated action to advance project management and/or project portfolio management proficiency
A team player who builds positive relationships and contributes to a collaborative project team and PMO work environment
Experience with Smartsheet and/or MS Project.
Project or portfolio management training or work towards CAPM/PMP or similar certification
Experience with resource management tools and/or enterprise portfolio management tools
Experience with data collection, analysis and trending including developing of reports and/or dashboards
Experience working in biopharma, cell therapy, Good Manufacturing Practices, FDA regulated, or other regulated environments is a plus.
Experience with business case development including ROI

Position Summary:
The Project & Portfolio Coordinator role is responsible for the collection, analysis, and communication of information on projects and other improvement initiatives at the manufacturing site to facilitate prioritization and allocation of resources to projects in alignment with strategic objectives. Responsibilities include supporting the intake and approval process for new project requests and well as maintaining and reporting on data for in flight projects at the site. This position may also support project communication and coordination activities. This position will report in through the site Project Management Office (PMO) and will work closely with business leaders, managers, and subject matter experts across a variety of functions such as Manufacturing, Quality, MS&T, Supply Chain, Facilities & Engineering, Information Technology and Operational Excellence.

The starting compensation for this job is a range from $75,000 - $95,000 , plus incentive cash and stock opportunities (based on eligibility).
The starting pay takes into account characteristics of the job, such as required skills and where the job is performed. Final, individual compensation is decid ed based on demonstrated experience.
