- Gatekeeper of all contracts and owner of the contract registry.
- Tender management: constantly monitor the tender submission process: format, timing & deadlines, completeness, consistency and compliance with all requirements.
- Make sure that all parts of the tender are covered and the required structure is kept (administration, technical and financial part).
- Make sure all prices are loaded and approved in Vendavo before the tender/contract is signed by our GM.
- Finalizing contracts, collecting signatures and load contract prices from Vendavo to SAP.
- Maintain centralized administration and storage for agreements.
- Follow up on submitted tenders (receipt, feedback, non-acceptance, contract upon acceptance, signature, archiving, setting up of the prices, respect timing & deadlines).
- Monitor contracts and follow up with customers on prolongations, ensuring protocols are signed before expiration after alignment internally with business units.
- Monitor price increase possibility to increase revenue after direction from business units.
- Prepare value adds for contracts for external customers in line with contractual obligations.
- Responsible for maintaining contract master data and formulating applications for change protocols, ensuring changes are implemented and coordinated both internally and externally after approval.
- Maintain and actively improve contractual e-catalogues, partnering with purchasing departments on process improvement.
- Create statistics related to master data as specified in contracts.
- Be gatekeeper on all agreements created by the sales force in Vendavo to ensure compliance with running contracts.
- Support internal customers with contract and tender-related questions.
- Work with pricing administrator to solve price discrepancy issues and eliminate price overrides.
- Support the implementation of Vendavo and provide expert support to the sales force.
- Expert on tender admin flow and project coordinator for the tender work.
- Request and distribute tender documents appropriately after the announcement.
- Reviewer of agreement drafts coordinating with legal for review if needed.
- Support in setting up and organising tender folders with all documents according to customer specifications.
- Coordinates proofreading of documents and compiles tender submission & signatures.
- Detail checking all documents (setting up correct print formats, content lists for subfolders, double checking all requested documents are ready for submission etc).
- Ensure tender is sent off physically/electronically within deadline and follow up on shipment.
- Uploading/maintenance of site builder sites in coordination with peers.
- Be a gatekeeper of the implementation of the pricing strategy and educate your business partners.
- Maintain centralized administration and storage for agreements.
- Monitor contracts and follow up with the business on prolongations, ensuring protocols are signed before expiration after alignment internally with business units.
- Monitor yearly price increase possibility to increase revenue after direction from business units from a contractual & communication point of view.
- Prepare value adds for contracts for external customers in line with contractual obligations.
- Responsible for maintaining contract master data and formulating applications for change protocols, ensuring changes are implemented and coordinated both internally and externally after approval.
- Maintain, develop and adapt internal e-commerce database files to comply with changes in contracts.
- Be a gatekeeper on all agreements created by the sales force in Vendavo to ensure compliance with running contracts.
- Contract management and assistance in rebate payment calculations.
- Support internal customers with contract-related questions.
- Communicate with customer service upon “Special price” requests.
- Reviewer of framework agreement drafts and e-commerce requirements drafts in tender package, coordinating with legal for review if needed.
- Coordinate adaptation to existing contract templates together with the business and legal departments.
- Become an expert in contracting.
- Be a gatekeeper of the implementation of the pricing strategy and educate your business partners.
- Take an active part in the rebate discussion for your customers and make sure all the necessary steps are followed to create the contract.
- Support the implementation of Vendavo and provide expert support to the sales force.
- Create and maintain tender and framework and rebate dossiers in Vendavo.
- Work with the pricing administrator and the business to solve price discrepancy issues and minimize price overrides.
- Take part in the ticketing service to handle contract & tender requests.
- Process the Spot Quotes and Deal documents of the deals prepared by our sales force in Vendavo.
- Be a gatekeeper of the implementation of the pricing strategy and educate your business partners.
- 5 years of experience in the local healthcare industry working with tender, contracts, procurement or similar.
- Contract management skills, organizational & coordinating skills.
- Fluent in Dutch, written & verbal. Good level of English.
- Knowledge of contract concepts, contract law or regulations.
- Collaboration skills to gather necessary information and build trust.
- Time management, workload management & prioritization.
- Ability to communicate across all levels of the organization and with procurement customers.
- Advanced IT skills in MS Office and MS Excel.
- Detail-oriented, rigorous and proactive in communication.
- Ability to understand process flows and provide recommendations for improvement.
- Self-motivated and able to work with a minimum of supervision.
- Team player with a positive attitude.
- Previous work experience in the medical device industry.
- Experience with SAP and Vendavo.
- Project management skills.

- Knowledge of contract concepts, contract & tender law or regulations.
