Job Description

- Process accounts payable and accounts receivable transactions accurately and timely
- Monitor accounts receivable aging and follow up on outstanding invoices
- Reconcile company Visa credit cards and other balance sheet accounts
- Submit and reconcile executive expense reports on a bi-weekly basis
- Assist with monthly close processes, including account reconciliations and supporting documentation
- Maintain accurate financial records within QuickBooks Online
- Assist with vendor setup and submit Vendor Management Requests
- Ensure proper documentation and compliance with internal accounting controls
- Support additional accounting and finance-related tasks as needed
- Administrative & Office Support
- Prepare financial and operational reports as requested
- Assist with executive administrative support and special projects
- Manage shared email inboxes related to accounting and vendor communications
- Coordinate bi-weekly team meetings
- Oversee office supply and organization
- Manage incoming/outgoing mail
- Support HR administrative functions when needed
- Assist with organization of company meetings, event coordination, and team activities
- 2–3 years of administrative or executive assistant experience
- 1–3 years of hands-on bookkeeping experience
- Strong working knowledge of QuickBooks Online
- Experience with Stripe and online payment processing platforms
- Solid understanding of accounts payable, accounts receivable, and reconciliations
- Experience preparing and reconciling expense reports
- Strong attention to detail and high level of accuracy in financial data entry
- Understanding of basic accounting principles
- Ability to meet deadlines in a fast-paced environment
- Strong analytical and problem-solving skills
- Ability to work independently with minimal supervision
- Professionalism and discretion when handling sensitive financial information
- Highly organized with excellent follow-through
Job Description:
Accounting Associate Level I
- Responsible for one or more of the following activities: checks and verifies records, prepares invoices and vouchers, types, files, posts ledger and general journal entries and/or balances accounts payable and accounts receivable records. Uses office automated systems to input data, generate reports, conduct specialized research projects and respond to inquiries. May reconcile accounts. May be responsible for a complete and systematic set of transactions in a specific phase of accounting. Works on assignments that are routine in nature where limited judgment is required. Normally receives detailed instructions on all work. Requires basic reading, writing, addition and subtraction skills. Requires a high school diploma and 1 - 3 years of experience.
