      Administrative Assistant IV

      Job Description

      As an Administrative Assistant IV, you will provide comprehensive administrative, clerical, and operational support to ensure the smooth functioning of the department. You will assist the Project Vice President, Project Director, and departmental leadership with a wide range of responsibilities, including document management, calendar coordination, meeting planning and logistics, internal communications, and event organization. Your role will also involve coordinating travel arrangements, preparing high-quality presentations, supporting onboarding processes, and tracking key performance indicators (KPIs). Collaborating closely with the project management team, this position requires a high degree of professionalism, discretion, and confidentiality.

      Responsibilities

      • Manage document organization and retrieval for departmental efficiency.
      • Coordinate and manage complex calendars for departmental leadership.
      • Plan and organize meetings, including logistics and internal communications.
      • Organize events and coordinate onsite activities.
      • Arrange travel and accommodations for department leaders.
      • Prepare and deliver high-quality presentations.
      • Support onboarding processes for new team members.
      • Track and report key performance indicators (KPIs).
      • Collaborate with the project management team to ensure seamless operations.

      Essential Skills

      • Bachelor’s degree in business administration or related field from an accredited university or equivalent education and experience.
      • Minimum of 7 years of experience in an administrative role, preferably in a pharmaceutical environment.
      • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
      • Strong problem-solving skills and ability to navigate complex assignments.
      • Ability to thrive in dynamic and ambiguous environments.
      • Excellent organizational and prioritization skills.
      • Clear and proactive communication skills.

      Additional Skills & Qualifications

      • Experience in a pharmaceutical environment preferred.
      • Ability to integrate data and information into useful tools/communication.
      • Experience with data entry and calendar management.
      • Experience in booking flights and managing sensitive meetings.

      Job Type & Location

      This is a Contract position based out of Clayton, NC.

      Pay and Benefits

      The pay range for this position is $34.50 - $34.50/hr.
