      The State University of New York College of Optometry is seeking an Administrative Assistant/Office Coordinator in the Office of Information Technology Services (ITS) to provide a broad range of administrative and support services for the Chief Information Officer (CIO) and the ITS department. The ideal candidate must be a detail-oriented self-starter, possessing strong organizational skills, exceptional verbal and written communication, and interpersonal and high-level customer service skills for interacting with faculty, staff, and students. The individual must be able to work independently, as well as in a team environment, multitask, exercise good judgment, prioritize assignments effectively to meet deadlines, and work under pressure in a fast-paced setting.

      Responsibilities:
      • Manage daily ITS operations and support the administrative needs of the CIO and ITS, and ensure the smooth and timely execution of office workflow, events, and high-level customer service
      • Serve as an administrative liaison between the CIO and other offices within the College, as well as a variety of internal and external stakeholders, to ensure concise and effective communications
      • Assist with the planning, organizing, and coordination of meetings, projects, departmental moves, and events
      • Prepare and distribute meeting agendas, meeting minutes, and other related meeting materials, many of which are related to information security and confidential in nature
      • Maintain calendars, schedule meetings, appointments, room reservations, and travel arrangements
      • Provide support for budget tracking and resource management with a high level of detail and accuracy
      • Prepare and submit purchase requisitions, process invoices and reimbursements, timesheets, and other similar activities
      • Update ITS policies, procedures, standards, guidelines, and other departmental documentation
      • Produce statistical and administrative reports
      • Maintain ITS inventory supply levels
      • Other duties as requested and assigned

      Qualifications:
      • Associate’s degree and 2–3 years of office administration experience
      • Strong organizational, communication, and customer service skills
      • Ability to handle confidential information with discretion and care
      • Proficiency in Microsoft 365 Office Suite (Word, Excel, PowerPoint, Outlook), and Adobe Acrobat

      Preferred:
      • Bachelor’s degree
      • Experience in higher education or IT office administration
      • Basic understanding of IT terminology (for triaging helpdesk requests)

      The salary range is $55,000 to $70,000 and there is also a generous benefits package. 15 days of annual leave per year and 13 paid holidays per year. We are a qualifying employer in the federal Public Service Loan Forgiveness (PSLF) Program. View our Benefits at Glance .
