      Summary:

      The Administrative Services Coordinator Project Management is responsible for assisting with the management of interactions between the client and our internal Pharmaceutical Development Services (PDS) organization. The Coordinator manages and coordinates activities within the PDS project team units

      Essential Functions:

      Establish/practice standard project reporting procedures to client and management (i.e. develop and issue minutes, develop and issue agendas, etc.)

      Coordinate and manage project documentation, client shipments, internal files, project binders. Attend and assist in key project team meetings, client conferences and on-site visits.

      Perform as delegate for Project Manager in leading meetings as required

      Assist Associate Director, PM; Senior Project Manager; Project Manager(s) within the PDS team in planning, coordinating and tracking functional team activities, timelines and deliverables for each project

      Act as liaison between the Project Manager, internal Project Team, and client as required to support timely communication, timely progression of project deliverables, and resolution of project issues.

      Administration and management of the Change Point system.

      Coordinate additional project management tasks and responsibilities as required. Maintain a safe working environment and reports potential hazards.

      REQUIRED QUALIFICATIONS

      Education:

      High school diploma/General Educational Development (GED) Certificate is required College/Technical School diploma in related technical field is preferred

      Experience:

      Minimum 1 year of previous related experience.

      Equivalency:

      Equivalent combinations of education, training, and relevant work experience may be considered.

      Knowledge, Skills and Abilities:

      Well organized, enthusiastic and detail oriented. Ability to prioritize multiple tasks. Strong interpersonal and communication skills. Excellent team player. Able to work in a fast paced environment. Experience in a pharmaceutical environment is an asset. Familiarity with Good Manufacturing Practices is an asset. Demonstrated computer proficiency with Microsoft Office programs. Proficiency in the English Language.

      Follow all Environmental Health & Safety Policies and Procedures. Work collaboratively with fellow team members, modelling positive team principles and partnering to meet project and departmental objectives.       Actively engage in and adhere to departmental systems to maintain a smooth and efficient workflow (visual management, scheduling systems, etc.). Be client and patient conscious at all times. Understand Key Performance Indicators and strive to improve the performance of the team by identifying areas for system improvements and engage in problem solving. Models positive thinking and is open to change, motivating the team to adapt to shifts in priorities and new ways of working. Proactively identify areas for improvement

      Physical Requirements:

      Light physical effort and fatigue. Walks, sits or stands for limited periods. May require occasional equipment operation including keyboard equipment. Lifts light items for limited duration. Typically located in a comfortable indoor area. There may be exposure to mild physical discomfort from factors such as dust, fumes or odours, temperature extremes, loud noise, strong drafts, or bright lights. Use of Personal Protective equipment may be required and may include any of the following: safety glasses, safety shoes, lab coat, gloves, hair net, beard cover, safety apron, respirator on occasionally.
