      Position Summary

      Provides support for MSUCOM Pre-Clerkship medical students in the Doctor of Osteopathic Medicine professional program. Works closely with faculty course directors, other on-and-off-campus faculty, and Course Coordinators at the Southeastern Michigan sites (Macomb University Center and Detroit Medical Center) to plan, develop, coordinate, implement, and oversee to completion a multitude of various tasks required to deliver the course curriculum.

      Characteristic Duties and Responsibilities:

      25% - Scheduling and Planning
      • Attending planning and management meetings with course directors
      • Including course meetings, semester meetings
      • Submitting IT batch request, regularly checking for issues with IT tickets
      • Setting up and maintaining Aquifer self-study assignments for course
      • Creation and posting of Zoom links
      • Attending/moderating Zoom lectures, facilitate student chat and Q&A
      • Reviewing student calendar and revising as needed
      • Coordinating activity sessions
      • Set-up and all-site scheduling for special course events
      • Scheduling and submitting timesheets for Osteopathic Patient Care (OPC) and other on-call clinical faculty
      • Schedule and maintain group lab assignments
      • Objective Structured Clinical Examination (OSCE) event coordination: student scheduling, event management
      • Coordinating lab practical exams
      • Contact/recruit and schedule rooms, faculty and/or panelists for OPC labs and grading

      25% - Creation and Maintenance of Educational Materials
      • Create and update syllabus & schedule
      • Collect and maintain course materials
      • Complete course review forms
      • Merge, create, set up, and maintain D2L
      • Prepare and submit faculty efforts and AOA reports
      • Update and maintain textbook list
      • Take attendance for labs, lectures, and special course events
      • Keeping track of Attendance Exceptions for quizzes and other events
      • Grading Aquifer assignments and posting on D2L
      • Prepare weekly materials for faculty (print out attendance sheets, print out and email weekly material to faculty)
      • Manage attendance for required learning events - create QR codes and/or manage attendance via Zoom login information, recordkeeping of absences
      • Submitting grades to the Office of the Registrar, sending N grade notifications to students

      20% - Coordination of Courses/Liaison for Courses
      • Liaison between Course Director and other faculty, staff, and administrators.
      • Answering course questions from students
      • Problem-solve faculty absences

      15% - Exam Proctoring and Assures Security of Course Grades
      • Check students in to exams and ensures adherence to exam security policies
      • Maintains security of exam room(s)
      • Proctor exams
      • Conduct exam review sessions
      • Maintains security of course grades in compliance with FERPA requirements

      10% - Day to Day Operations
      • Attending weekly Site-specific meetings (EL/DMC/MUC)
      • Attending weekly All-site meetings
      • Attending monthly CLC meetings
      • Assistance with annual site-specific student orientation events

      5% - Special Projects as Assigned

      • Exam quality assurance/proofing
      • Coordinating Group Lists

      Minimum Requirements

      Knowledge equivalent to that which normally would be acquired by completing a four year college degree in Health or Education or a related field; one to three years of related and progressively more responsible or expansive work experience providing administrative support including the use of word processing, database, spreadsheet and/or presentation software; or an equivalent combination of education and experience.

      Desired Qualifications

      Bachelor's degree or experience in science/medicine/education or related field. Exceptional organizational skills, project planning, and in dependent management skills, very detail-oriented; a confident self starter who has excellent interpersonal, written, and verbal communication skills; enjoys working in cooperation with other team members as well as with various faculty members and students; ability to multitask in a fast -paced environment with many interruptions while still meeting deadlines and producing quality products and service; advance d knowledge and comfort level with various computer programs; working knowledge and experience with MS Word, Excel, PowerPoint, electronic e-m ail and calendaring systems; experience or ability to learn D2L, Instructor Systems, Students Information System (SIS), Adobe, Breeze/Camtasia , Dreamweaver, and Media Site Live, as well as various COM-specific database programs to work with confidential grades and course evaluation systems; working knowledge of and experience with medical terminology; knowledge of or ability to learn MSU curriculum delivery, academic policies, accounting procedures and forms, and hiring and paying procedures using the MSU EBS system.

      Work Hours

      Variable - Work hours are generally 8 am to 5 pm however ability to work a hybrid/flexible schedule to administer exams, support academic events and/or attend meetings
