      OCCUPATIONAL SUMMARY

      Duke University Recreation and Physical Education is seeking a qualified candidate for a Departmental Business and Finance Manager. This person will report to the Executive Director of Recreation and Physical Education. They will assist the Executive Director with management of departmental finances and creation of financial policies, and procedures. Responsible for providing granular data and analysis on business issues, planning, budgeting, and forecasting across the department for management’s use in strategic and tactical decision making. Analyzes operational and financial data. Provides direct oversight to Information Technology (IT) Specialist as well as work closely with HR manager and Office Manager.

      Essential Functions

      · Work directly with the Executive Director to continue strategic budget planning.

      · Form and manage relationships with partners across the University to help ensure business and finances objectives and continuity.

      · Analyze financial and budget performance, identify areas of risk and opportunity, and make recommendations to leadership for improvements.

      · Support the financial planning process at the department level, inclusive of budgets, forecasts, capital planning and alignment with strategic initiatives..

      · Gather data and conduct budget analysis of program/academic units.

      · Develop and maintain financial models and tools for department use.

      · Develop relevant reporting including data preparation, strive to deliver insight, consistent data, and effective visualizations.

      · Monitor operational statistics; report trends, variances and issues; take appropriate action including proactively notifying Executive Director, leadership team as well as staff.

      · Provide data and analyses to support periodic (monthly, quarterly, year-end) financial and operational performance reviews.

      · Assist in building business proposals and perform due diligence on potential opportunities, deals, partnerships, etc.

      · Demonstrate finance, business and industry expertise; learn the strategy, drivers, metrics and data elements of the organization.

      · Establish credibility through respectful, thoughtful interactions, attention to detail, professional integrity and excellent financial insight.

      · Reconcile monthly credit card statements and merchant accounts.

      · Hire, train, supervise, evaluate, and provide direct supervision for 1 full-time position.

      · Perform other ad hoc analyses.

      · Other duties as assigned.

      Policymaking and/or interpretation

      Responsible for the development, implementation and interpretation of the policies and procedures governing business and finance functions of the department.

      Supervision Received

      Reports to the Executive Director of Recreation and Physical Education Department. Day-to-day functions are accomplished with minimal guidance or supervision in accordance with established policies and directives. Overall guidance is accomplished through supervisory conferences (one on one meetings) setting broad goals and objectives.

      Supervision Exercised

      Directly supervises 1 full-time staff and student employees.

      Level of Public Contact

      Collaborates with other University Departments such as the University & Athletic Budget/Payroll office.

      Monetary Responsibility

      Oversees and tracks revenue generated through student fees, memberships, donations, programs, special events, and other streams of revenue.

      Statement of Responsibility for Confidential Data

      Collects and secures confidential information regarding students, staff, faculty, alumni, and family. Maintains employee information and files in a confidential manner.

      Marginal Functions of the Job

      Performs other work-related duties as directed. May require nights and weekends.

      This is currently a hybrid but subject to change.

      Qualifications Required:

      Bachelor’s degree in accounting, business. Four years of professional work experience in accounting, budget management, or financial reporting. Experience in word processing, spreadsheet programs, and database software. Experience operating a personal computer with proficiency in Microsoft Office (e.g., Word, Excel, and Outlook) software. Excellent conflict resolution, problem solving and interpersonal skills.

      Preferred:

      Master’s degree in accounting, business, or finance field. A minimum of two years of accounting, budget management, or financial reporting experience in higher education.

      Knowledge, Skills, Ability

      Experience in accounting, budget management, or financial reporting. Experience in word processing, spreadsheet programs. Experience operating a personal computer with proficiency in Microsoft Office (e.g. Word, Excel, and Outlook) software. Ability to learn recreation management software such as Fusion. Knowledge of current literature, trends in business management. Ability and skills to deal with the public in a prompt, professional and courteous manner. Ability to work in a highly dynamic and diverse university setting. Highly analytical and critical thinker with good problem-solving skills. Detail oriented, highly organized and self-motivated. Detailed orient and effective communicator. SAP financial software experience. Ability to utilize and implement recreation software. Prepare and maintain departmental budgets, providing directors with regular budget reports, assessments of financial strengths, weaknesses and potential problems or concerns. Compile reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions. Prepare midyear budget reports. Prepare annual budgets. Work directly with the Executive Director to continue strategic budget and planning. Hire, train, supervise, evaluate and provide direct supervision for 1 full-time position.

      Minimum Qualifications

      Education

      Work requires a general business background generally equivalent to a bachelor's degree in a business related field.

      Experience

      Work requires 2 years related business or administrative experience to OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE. become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities. A master's degree in a business related field may be substituted for 2 years experience.
