      Duties:
      • Prepares and handles correspondences, memos, reports, presentations, and other documents for the Executive/Director
      • Manages executives' calendar and coordinates with personnel to arrange meetings
      • Responds to inquiries from parents, patients, visitors, hospital employees, and hospital leaders and determines the urgency of the situation, suggests appropriate referrals, or informs the Executive/Director when the situation warrants his/her attention
      • Responds to calls and visits from senior management, medical and nursing staff, as well as the public at large. Determines the urgency of the situation and suggests appropriate referrals, or informs the Executive/Director when the situation warrants
      • Handles incoming/outgoing mail
      • Properly directs all requests, from personal appearances and by telephone, to the appropriate physician, clinic, or department
      • Acts as the point of contact for executives, employees, clients and other external partners via the executive
      • Manages information flow in a timely and accurate manner
      • Ensures compliance in day-to-day operations
      • Makes travel and accommodation arrangements
      • Creates and runs reports
      • Maintains files according to appropriate guidelines and maintains confidentiality
      • Maintains excellent working relationships throughout the organization
      • Prepares agendas and make arrangements, such as coordinating catering for luncheons, for committees, and other meetings.

      Requirements:
      • Two (2) years of clerical/administrative experience in an office setting, preferably supporting senior or executive management.
      • Position requires ability to maintain the highest level of discretion and confidentiality.
      • Ability to work independently; demonstrates accuracy, reliability, and problem solving skills.
      • Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint is required.
      • Demonstrates excellent organizational skills, attention to detail, communication skills, and the ability to handle multiple tasks.
      • Demonstrates ability to communicate professionally and effectively throughout all levels within the organization, and with others outside of the organization
      • Bachelor’s degree (Preferred)
      • Healthcare industry experience preferred.
