- Calendar Management: Organizes and manages the executive team’s calendars, schedules appointments, meetings, and conference calls, ensuring optimal time management and prioritization of tasks.
- Communication: Serves as the primary point of contact for internal and external communications, maintaining professionalism and confidentiality in all interactions. Drafts, edits, and proofreads correspondence, emails, memos, and other documents as needed.
- Meeting Coordination: Coordinates and schedules meetings, prepares agendas, compiles necessary documents and presentations, and manages logistical details such as room reservations and catering arrangements.
- Travel Arrangements: Arranges and coordinates travel itineraries, including flights, accommodations, ground transportation, and any necessary travel documentation.
- Document Management: maintains and organizes electronic and physical filing systems, ensuring easy access to important documents and information.
- Expense Management: Assists in managing expense reports, receipts, and reimbursement requests for the executive team.
- Special Projects: Provides support on various special projects, research tasks, and initiatives as assigned by the executive team.
- Confidentiality: Handles sensitive information and company matters with the highest level of confidentiality and discretion.
- Cross-Functional Collaboration: Collaborates with other departments and team members to facilitate effective communication and ensure the smooth flow of information.
- Highly organized: Maintains high levels of organization in all aspects of the job and in the office space. Multitasks and maintains acute attention to details.
- High school diploma required, associate or bachelor’s degree preferred.
- Proven experience (3 years min) as an executive administrative assistant or in a similar role.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools
- Discretion and ability to handle confidential information with professionalism.
- Adaptability and the capacity to work in a fast-paced environment.
- Strong problem-solving skills and the ability to anticipate needs and proactively address challenges.
- Professionalism and a positive attitude, even under pressure.
