Performs high-level administrative duties requiring discretion, confidentiality, and
specialized knowledge of organizational operations.Provides professional customer service by responding to staff and public inquiries via
telephone, email, and in person.Drafts, edits, and prepares correspondence, reports, and documents using proper
grammar and punctuation.Develops, implements, and follows office policies and procedures to ensure efficient
workflow and adherence to organizational standards.Manages office facilities, including maintenance coordination, cleanliness, safety
protocols, and related operational needs.Coordinates procurement, maintenance, and repair of office equipment.
Oversees inventory management of office and kitchen supplies to ensure adequate
stock levels are maintained.
OFFICE MANAGER OPERATIONSServes as the primary administrative owner for office operations and Board support
functions, including responsibility for the preparation, coordination, posting, and
maintenance of agendas, notices, minutes, and related records in accordance with
applicable laws, bylaws, and organizational policies.Schedules and maintains department calendars; coordinates meetings, special
meetings, and events; takes meeting minutes; and transcribes dictation as required.Posts agendas, notices, and meeting minutes to the organization’s website and other
required platforms in a timely and accurate manner.Interacts effectively with City Leadership, City Council, and the Wylie EDC Board of
Directors.Represents the organization at Administrative/Support Services staff meetings and
other meetings as assigned.Organizes, researches, and maintains hard copy and electronic files; preserves sensitive
information; ensures confidentiality; and maintains historical records.Assists the public and staff with inquiries requiring knowledge of organizational
programs, policies, and procedures.Pays invoices and performs budget reconciliation.
Assists with department budget administration, including monitoring expenditures,
assigning account codes, processing purchases and payments, and documenting
financial transactions.Receives, screens, and organizes payroll records and assists with payroll preparation as
needed.Manages property-related administrative functions, including coordination of
maintenance, mowing, signage, and related upkeep.Performs duties as a responsible steward of the public trust and strives for excellence in
public service.Acts in a civil, respectful, and professional manner at all times.
Performs other related duties as assigned.
High School Diploma or equivalent required.
Seven (7) or more years of progressively responsible administrative experience in local
government, economic development, or a comparable professional environment, with
demonstrated responsibility for office operations, Board or committee support, records
management, and financial or budget-related functions.College coursework or a bachelor’s degree may be considered in lieu of a portion of the
required experience, but is not required.Demonstrated ability to independently manage office functions, exercise sound
judgment, maintain confidentiality, and ensure accuracy and timeliness in
administrative and compliance-related responsibilities.Proficiency with standard office technology, including word processing, spreadsheets,
accounting or financial systems, scheduling software, website content management
systems, and document management platforms. Experience with Microsoft, Incode,
Municode, and Laserfiche is preferred.Valid Texas driver’s license with a safe driving record.
Advanced administrative and organizational skills.
Strong written and oral communication skills.
Working knowledge of budget preparation and budget administration.
Ability to prioritize workload, manage competing deadlines, and operate with minimal
supervision.Ability to work under pressure and adapt to changing environments.
Ability to interact professionally and effectively with elected officials, Board members,
staff, and the public.High level of discretion and commitment to confidentiality.

Reporting to the Assistant Director and Executive Director, this position is responsible for overseeing daily office operations and providing critical administrative, financial, and Board-support services that enable the organization to carry out its economic development, tourism, and marketing initiatives. This position places a high value on demonstrated experience, practical judgment, attention to detail, and hands-on knowledge of public-sector administrative operations.
SUPERVISION
Reports directly to the Assistant Director and Executive Director, collaborating in managing organizational operations and supporting strategic priorities.
Low: Exerting up to 20 lbs. occasionally, 10 lbs. frequently, or negligible amounts constantly.
