Payroll Specialist

Job Description

- Coordinate the collection, review, and processing of payroll and payroll-related data.
- Process bi-weekly payroll, including direct deposits and manual checks.
- Maintain payroll system accuracy, including general ledger (GL) account mapping and department setup.
- Enter and validate payroll data within payroll and financial systems.
- Support staff with timekeeping processes and respond to payroll-related inquiries.
- Prepare and distribute payroll checks and related documentation.
- Process employee requests for payroll information and records.
- Preparing the reports for GL related entries.
- Participate in internal and external audits (e.g., Workers' Compensation, annual audits).
- Ensure compliance with federal, state, and local payroll regulations.
- Perform other duties as assigned.
- Minimum of 4 years of payroll experience and at least 6 college-level units in accounting or bookkeeping (or 1 additional year of payroll experience in lieu of education).
- Working knowledge of payroll processes, tax regulations, and compliance requirements.
- Must have experience processing payroll for organizations with 500+ employees.
- Must have experience using Human Capital Management (HCM) systems (e.g., UKG or similar.)
- Intermediate proficiency in Microsoft Excel.
- General understanding of labor laws and accounting principles.
- Experience working in a remote environment and comfortable using virtual communication tools (e.g., Zoom).
- Must reside in one of the following states: CA, AZ, NV, OR, or CO.

- Primarily remote position (potential travel)
- Requires the ability to work extended hours during payroll processing cycles
- Frequent use of computer systems and virtual communication platforms
- Pay Range: $24.63 - $33.86/HR (actual salary is dependent on verification of applicable experience above the minimum qualifications for the role)

Position Summary
Under the direction of the Payroll Manager, the Payroll Specialist/Administrator is responsible for executing day-to-day payroll operations and supporting all aspects of the organization's payroll processes. This role ensures accurate, timely payroll processing, supports compliance with applicable regulations, and serves as a key resource for employees and program staff on payroll-related matters.
