  HALO is looking for a Proposal Specialist to join our growing Proposal Development team. This role plays a key part in winning new business, retaining existing clients, and expanding relationships across accounts. The Proposal Specialist is responsible for developing, coordinating, and preparing compelling and compliant responses to RFPs, RFIs, and custom proposals for both prospective and current clients. The ideal candidate has experience managing multiple projects simultaneously, working across teams and levels of seniority, and synthesizing complex information into clear, effective content. Experience in the promotional products industry is strongly preferred.
  
  Responsibilities
  
  Project Management:
  
  • Manage assigned RFx projects from start to finish, including identifying deliverables, coordinating with subject matter experts, and serving as the main point of contact for Sales, clients, and internal team
  • Ensure alignment on timelines, deliverables, and expectations across all stakeholders
  • Maintain strong attention to detail and organization to meet deadlines and ensure high-quality outputs
  
  Content Development:
  
  • Develop, write, and edit proposal content, including executive summaries and tailored responses based on the opportunity and sales strategy
  • Simplify and standardize input from subject matter experts to align with HALO's voice, positioning, and differentiators
  • Leverage AI tools to support content development, editing, and process efficiency
  
  Collaboration
  
  • Partner with proposal team members to review, proofread, and support active projects as needed
  • Build strong working relationships across teams and with stakeholders at various levels
  • Contribute to a collaborative, fast-paced team environment while managing independent responsibilities
  
  Brand and Compliance
  
  • Ensure all responses are accurate, compliant with client requirements, and aligned with brand guidelines
  • Maintain consistency in tone, messaging, and formatting across all proposal materials
  • Utilize internal tools and AI resources to support brand alignment and efficiency
  
  
  Requirements
  
  
  • 3+ years of experience in the promotional products industry, preferably in account management, implementation, or other areas with exposure to cross-departmental functions.
  • Excellent written and verbal communication skills
  • Bachelor's degree or equivalent work experience
  • Experience with cloud-based RFP management software, such as Responsive or similar
  • Comfortable with AI to support writing and processes
  • Highly proficient in Microsoft Word
  • Proficiency in other standard MS Office suite products (Excel, PowerPoint, Outlook, Teams, etc.) and Adobe software.
  
  
  Compensation: The estimated base salary range for this position is between $55,000 and $62,000 annually. Please note that this pay range serves as a general guideline and reflects a broad spectrum of labor markets across the US. While it is uncommon for candidates to be hired at or near the top of the range, compensation decisions are influenced by various factors. At HALO, these include, but are not limited to, the scope and responsibilities of the role, the candidate's work experience, location, education and training, key skills, internal equity, external market data, and broader market and business considerations.
