      Primary Purpose

      To support the vision, mission, and strategic priorities of ESC Region 12. The Registration Specialist serves as the System Administrator and strategic lead for all professional development and event registration workflows at ESC Region 12. This role is critical in ensuring the integrity of participant data, managing the logistics of regional conferences, and providing high-level technical support for the ESC Works platform. The Specialist acts as a bridge between internal departments and district administrators, ensuring that every event meets organizational quality standards and provides a seamless experience for the regional educator community.

      Qualifications

      Education/Certification:

      • Associate’s Degree or Related Work Experience

      Special Knowledge/Skills

      • Advanced proficiency in ESC Works (System Admin level) and Microsoft Excel.
      • Skilled in handling difficult situations and resolving complex customer or technical issues calmly.
      • Familiarity with district/campus Membership and Shared Service Arrangement (SSA) members, as well as the ability to implement policy and procedures, including data security.
      • Acute attention to detail with the ability to manage data updates and quality control with minimal supervision.
      • Self-starter and independent worker who takes full ownership of projects while maintaining the ability to collaborate effectively within a team.
      • Strong research capabilities with the ability to lead and facilitate long-range planning sessions.
      • Highly organized self-starter able to coordinate complex projects and manage program logistics through proactive problem-solving.
      • Ability to research/interpret complex policies and translate data into actionable insights using advanced software (spreadsheets and word processing).
      • Ability to maintain a calm, professional attitude while working under tight deadlines and managing frequent interruptions.
      • A collaborative team player committed to a positive workplace culture and continuous improvement through Quality Management System (QMS) initiatives.
      • Dedicated to continuous personal and professional growth, including attending required professional development to remain a subject matter expert in the field.

      General Responsibilities

      • Manage facility logistics by organizing and providing strategic room assignments based on attendance projections, AV needs, and event flow.
      • Provide support and coverage for the switchboard to ensure a professional and welcoming environment
      • Provide expert technical support and guidance to district administrators and registrars regarding system navigation and event enrollment.
      • Lead long-range planning for ESC Region 12 events and conferences.
      • Oversee participant registration workflows and payment options, ensuring a seamless experience for attendees.
      • Perform final approvals on Professional Development (PD) sessions to ensure they meet ESC quality standards.
      • Acts as the primary point of contact for the Registration Support role regarding ESC Works troubleshooting and complex session creation.
      • Manage the ESC Works Helpdesk, website contact forms, and the registration@esc12.net inbox; follow up on all emails to ensure customers receive timely, accurate responses.
      • Support the greeter coordination and switchboard operations to maintain a welcoming environment.
      • Serve as System Administrator; provide specialized training to staff on session creation and system navigation.
      • Maintain Memberships and Shared Service Agreements (SSA) within ESC Works.
      • Keep all system data up-to-date with minimal supervision, ensuring the integrity of participant and professional development records.

      All positions at ESC 12 are defined as security-sensitive. Security-sensitive positions are those which require employees to be entrusted with certain types of data, whether electronic or in paper form. Those data elements, as defined by the ESC 12 Data Classification and Handling Policy may include, but not limited to:

      Benefit Information

      • ESC Region 12 provides a monetary contribution up to $575 per month to use for employee/family healthcare and supplemental benefits.
      • Employee earns state personal, sick, and vacation leave.
      • All employees contribute to both: Teachers Retirement System (TRS) and the Social Security retirement programs
