      Job Description

      The Team Assistant will support VP+ level members across EMEA Networks & Hayu businesses with administrative tasks including diary management and business travel. Further elements of the role incorporates Legal contract management

      Key Responsibilities

      Team Assistant Support

      • Provide a wide range of administrative support to designated VP+ team members
      • Communicate with external suppliers, agencies, and clients to facilitate meetings and administration
      • Arrange business travel, coordinate travel documentation, and manage expense reports
      • Manage the raising of POs, vendor set up and invoice processing for relevant team member events / workshops / supplies.
      • Assist in information gathering for key projects and tasks the team are developing.

      Legal Support

      • Work alongside Legal team to ensure all contracts are sent to relevant recipients to be signed and correctly filed in the Legal storage portal (DMS)
      • Notify Legal team of contracts’ signature status and manage signature instruction forms in SharePoint

      Qualifications

      Skills & Experience

      • Strong organizational and time management skills
      • Effective verbal and written communication with a keen eye for detail
      • Experience with Excel and PowerPoint
      • Ability to learn enterprise systems (i.e. SAP and Concur) to facilitate key processes
      • Experience communicating with external suppliers
      • Proof-reading skills and ability to understand and adhere company guidelines.
