- Manage executive calendars, including scheduling meetings, appointments, travel, and events supporting the City Executive Office, City Council, and the Departments of Economic Development, Communications and Government Relations, and Strategic Programs and Initiatives.
- Prepare and edit correspondence, presentations, reports, and other business documents.
- Coordinate internal and external meetings, including agendas, logistics, and follow-up actions.
- Screen and prioritize incoming emails, phone calls, and requests for the executive team, city council and the departments of Economic Development, Communications and Government Relations, and Strategic Programs and Initiatives.
- Maintain confidential files, records, and documentation with discretion.
- Assist with project coordination, tracking deadlines, and following up on action items.
- Serve as a liaison between executives, city council, appointed officials, staff, and other stakeholders.
- Support budgeting, expense tracking, invoice processing, and reimbursement submissions.
- Conduct research and compile information for executive decision-making.
- Provide general administrative support and handle special projects assigned.

THE DEPARTMENT
The Executive Office serves as the administrative center for the City of Menifee, operating under the Council-Manager form of government. The department is responsible for implementing City Council policies, overseeing day-to-day municipal operations, and ensuring that all city services are delivered efficiently, transparently, and in alignment with Council goals. The City Manager appoints and directs department heads, provides policy guidance to the City Council, and manages oversight of the City’s annual operating budget and Capital Improvement Program. The office plays a central role in coordinating citywide initiatives, supporting organizational effectiveness, and maintaining high standards of service to residents, businesses, and elected officials.
THE OPPORTUNITY
The City of Menifee, one of California’s fastest-growing and most vibrant communities, is seeking a detail-oriented and motivated professional to join our team as the Executive Assistant for the City Executive Office.The Executive Assistant will be responsible for providing complex, confidential, and executive-level administrative support to the City’s leadership. This role supports citywide initiatives, interdepartmental priorities, and high-visibility projects that require exceptional judgment, discretion, and professionalism. The ideal candidate brings a positive attitude and excels in customer service, supporting the executive leadership team by managing schedules, coordinating meetings, preparing documents, and handling confidential information serving as a key liaison between executives, city council, appointed officials and external partners, ensuring seamless communication and efficient operations for the executive team.
The Executive Assistant will be responsible for, but not limited to, the following:
The ideal candidate will possess four (4) or more years of increasingly responsible experience performing office administrative or secretarial experience along with a high school diploma or equivalent.
In addition, the ideal candidate will have demonstrated experience performing high-level scheduling for executive leadership, such as managing calendars, coordinating complex meetings, and supporting senior-level officials or departments.
NOTE: Foreign degrees require an evaluation of U.S. equivalency by an agency that is a member of the National Association of Credential Services (N.A.C.E.S.) .
RECRUITMENT PROCESS

Oline Assessment
Applicants will complete a self-guided online assessment designed to evaluate core competencies relevant to the position they are applying for. The assessment may include structured questions, scenario-based tasks, or skills-focused exercises that allow candidates to demonstrate their abilities independently. There is no live proctor or interviewer; candidates complete the assessment on their own and submit their responses electronically. A panel of subject matter experts will review all submissions and evaluate each component using predefined criteria to ensure a fair, consistent, and objective selection process.
Video Appraisal Interview
Applicants will complete a self-guided video interview by recording responses to a series of structured questions. These questions are designed to assess each candidate’s qualifications and suitability for the position. There is no live interviewer or proctor; candidates will record their answers independently and submit the videos for evaluation.A panel of subject matter experts will review the submitted recordings and evaluate each response based on predefined criteria.
Physical Demands
Based on the Department's needs, the selection procedures listed above may be modified. All candidates will be notified of any changes in the selection procedure.
Eligible List: Once the appraisal has been completed, HR will establish an eligible list of candidates. Candidates placed on the eligible list may be referred to a selection interview to be considered for present and future vacancies.Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups, and over the telephone. This is primarily a sedentary office classification although standing in work areas and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds.
Environmental ElementsEmployees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures.
