- Oversee the intake, tracking, and assignment of rental leads to agents based on availability, location, and performance metrics.
- Ensure leads are responded to promptly, accurately and professionally.
- Maintain lead distribution systems and workflows.
- Manage a caseload of rentals including coordinating placement/assignment of tour and home finding opportunities; counseling customers of rental/tour process and determine customer's intentions through a needs analysis process.
- Ensure proper entry/tracking of tour expenses and reimbursements through collaboration and coordination with the accounting team
- Serve as a primary point of contact regarding lead-related issues or escalations, seeking guidance from the team Manager as appropriate.
- Ensure a high standard of customer service is maintained throughout the lead lifecycle.
- Minimum of two years of experience in Real Estate or related field
- Knowledge of the real estate and relocation industry, including processes, terminology, and client expectations.
- Self-driven and disciplined contributor who balances independent accountability with effective team collaboration
- High attention to detail and a customer-first mindset
- Excellent communication, organizational, and interpersonal skills.
- Proven ability to thrive in a fast-paced, high-volume environment while maintaining attention to detail and service quality.
- Proficiency in Microsoft Applications (Excel, Powerpoint, PowerBi, etc.)
- High school diploma or equivalent required; college degree preferred.

Job Description
The Rental Specialist connects tour and rental home finding opportunities with Coldwell Banker Realty agents. This includes accepting and assigning referrals from third party management companies using company provided tools and applications. Additional responsibilities include counseling transferees and facilitating the appropriate paperwork and lines of communication between client consultants, assigned agents and other team members, and coordinating with the accounting team for invoice management.
