      Position: Senior Contract Specialist

      Job Type: Full-Time; Non-Exempt

      Shift Details: Monday - Friday8:00am - 5:00pm

      Work Location: Remote

      Salary/Hourly Wage: $33.00 - $38.00/hour

      Summary of Job: The Senior Contracts Specialist is responsible for leading and managing the full lifecycle of organizational contracts, payer and funder agreements, provider Letters of Agreement (LOAs), lease documentation, and related contractual records. This role serves as a senior-level resource for contract negotiation, execution, tracking, compliance, and cross-functional coordination, while also supporting strategic growth through grant research, grant development, and grant writing efforts.
      The Senior Contracts Specialist acts as a key liaison with external payers, funders, landlords, vendors, and internal stakeholders to ensure contracts are accurate, timely, financially sound, and aligned with organizational priorities. This position also provides advanced operational support for contract systems, facility enrollment, data migration, reporting, and staff training.

      Essential Duties and Responsibilities:

      Contract Lifecycle Management:
      • Strategically lead the end-to-end lifecycle of payer, funder, provider, vendor, lease, and other organizational agreements from initiation through full execution, renewal, amendment, and termination.
      • Initiate, negotiate, generate, review, and track provider Letters of Agreement (LOAs), contracts, and amendments.
      • Serve as the primary custodian for all company-wide contracts, ensuring agreements are centralized, organized, maintained, and readily accessible.
      • Collect, file, and distribute signed contracts and supporting documentation within required timeframes.
      • Maintain the master ledger for all facility and equipment lease agreements.
      • Monitor contract expiration dates, renewal windows, and notice periods, and advise leadership to prevent lapses, missed deadlines, or unintended auto-renewals.
      • Assess contract performance and proactively identify needed revisions, renewals, or amendments.
      Payer, Funder, and External Relationship Management:
      • Serve as a liaison with external contracting representatives, payers, funders, landlords, and vendors regarding contractual obligations, negotiations, amendments, and agreement status.
      • Conduct proactive outreach to targeted payers and funders to address network gaps and support organizational growth.
      • Clearly and professionally communicate contract terms, reimbursement structures, payment methodologies, and rate changes to Revenue Cycle Management (RCM), leadership, and other internal stakeholders.
      • Support the implementation of new state, payer, and program contracts to ensure operational readiness and continuity.
      Contract Systems, Data Integrity, and Reporting:
      • Continuously maintain and update the contract management system and serve as the departmental "super user."
      • Lead the technical transition of moving contract and related operational data from one database to another, ensuring data integrity, completeness, and accuracy throughout the migration process.
      • Serve as the final point of accountability for ensuring contract profiles, billing codes, and reimbursement details are accurately reflected in claims, configuration, and contract management systems.
      • Develop, maintain, and distribute reports, dashboards, data files, and tracking tools as needed to support operations, leadership, audits, and strategic planning.
      • Research and analyze billing guides, service definitions, reimbursement policies, and fee schedules to support contract interpretation and operational decision-making.
      Facility Enrollment and Operational Implementation:
      • Oversee and execute the end-to-end facility enrollment process to ensure all locations are enrolled, credentialed, and correctly linked to payers and plans.
      • Assist with new contract implementations, payer setup, and program launches in collaboration with operational and cross-functional teams.
      • Work closely with internal departments on new business initiatives, expansions, and special projects involving contracts, reimbursement, and payer readiness.
      • Attend regular Provider Network, Operations, and other relevant stakeholder meetings to provide updates and support alignment on contracting priorities.
      Financial Coordination and Lease Administration:
      • Partner closely with the Finance team to align contract terms, reimbursement structures, and payment schedules with budgetary requirements and organizational goals.
      • Provide contract documentation and supporting records for financial audits, forecasting, reimbursement analysis, and other financial review activities.
      • Maintain oversight of lease-related contracts, including facility and equipment agreements.
      • Serve as the point of contact for landlords and vendors regarding lease terms, amendments, renewals, notice requirements, and contractual obligations.

      Grant Research, Development, and Writing:
      • Research grant opportunities from federal, state, local, foundation, and private funding sources that align with the organization's mission, programs, and strategic priorities.
      • Monitor grant calendars, funding announcements, deadlines, eligibility requirements, and submission guidelines.
      • Partner with leadership and program stakeholders to identify funding needs and develop competitive grant strategies.
      • Lead or support the development, writing, editing, and submission of grant applications, proposals, letters of intent, and supporting documentation.
      • Gather, organize, and synthesize programmatic, financial, and outcomes data needed for grant submissions.
      • Assist in developing narratives, project descriptions, budgets, and supporting materials to strengthen funding proposals.
      • Track submitted grants, award statuses, reporting obligations, and renewal opportunities.
      • Support post-award coordination by maintaining grant files and assisting with reporting requirements as assigned.

      Training, Mentorship, and Cross-Functional Support:
      • Assist the Contracting Operations Supervisor in training, onboarding, and mentoring staff on contract systems, workflows, payer nuances, and related processes.
      • Serve as an internal resource for contract interpretation, documentation standards, and process improvement.
      • Provide guidance and support to cross-functional teams to improve contract-related workflows, communication, and issue resolution.
      • Contribute to process improvement efforts that strengthen efficiency, compliance, standardization, and organizational readiness.
      • Assist with process transitions as responsibilities shift between internal departments, ensuring continued workflow clarity and support.

      Additional Duties:
      • Understands and adheres to Recovery Innovations compliance standards as they appear in the Code of Conduct and Conflict of Interest Policies.
      • Keeps abreast of all federal and state regulations and laws and all Recovery Innovations policies as they presently exist and as they change or are modified.
      • Performs other related duties assigned.

      1. Education/Licenses:
        • Bachelor's degree in Healthcare Administration, Business, or a related field preferred.
        • Paralegal certificate or Certified Professional Contracts Manager (CPCM) is a plus.
        • Years of experience may be taken in account in lieu of formal education.
      2. Experience:
        • 3-5+ years of experience in lifecycle contract management, including healthcare payer agreements and facility/commercial leases.
      3. Skills:
        • Proven experience leading data migration projects or systems.
        • Advanced proficiency in Contract Management Systems with the ability to perform 'Super User' functions like data auditing, abstraction, and bulk uploads.
        • Ability to interpret and abstract commercial lease terms, including Common Area Maintenance (CAM) reconciliations, renewal options, and notice periods.
        • Demonstrated ability to collaborate with Finance/Accounting teams to align contract terms with budgetary forecasting and audit requirements.
        • Bachelor's degree in business, Finance, or Healthcare Administration preferred.
        • Strong organizational skills with a focus on 'proactive' management-anticipating expiration dates and initiating renewal workflows 6-9 months in advance.
        • Executive-level communication skills; ability to present complex contractual risks or financial implications to senior leadership and the Finance team.
        • Ability to work independently while managing multiple priorities and deadline
        • Knowledge of insurance payer portals.
        • Expertise in managed care, insurance plan structures, and facility contract requirements.
        • Ability to maintain confidentiality of sensitive information.
        • Excellent organizational skills with attention to detail.
        • Experience completing daily work using a work queue or spreadsheet.
        • Ability to exercise considerable judgment and discretion.
        • Ability to travel as needed.
      4. Driving Requirements:
        • If driving is required for this position, must meet all requirements outlined in Recovery Innovations driving policy.
        • If not qualified to drive per driving policy, a Non-Driver Attestation form must be signed.
      5. Miscellaneous Requirement(s):
        • Travel required based on business need.
        • Must be at least 18 years old unless residing in a state where funder or government regulations set a different minimum age requirement.
        • Ability to maintain a high level of confidentiality (HIPAA guidelines and regulations) and professionalism.

      May work in an office environment or behavioral health facility. May have contact with individuals who are agitated and/or confused. Work may include travel throughout the geographic region
