- Update and maintain functions in electronic employee timekeeping system (i.e. organizational structure, substitute database, substitute logins, and profiles).
- Performs substitute contact and notification for assignment changes.
- Conducts onboarding process and orientation training for new substitutes outlining system how to be a successful substitute as well as processes, procedures, and the District's Standard of Conduct and Ethics; tracks and assigns badge numbers; designs, and prints badges.
- Performs various systems processes to support electronic employee timekeeping system and electronic absence reporting system database.
- Updates Do-Not-Use Requests, No-Show reports, and initiates terminations, whether voluntarily or involuntarily, at the direction of the Manager.
- Assists with delivering annual training to District personnel to improve employee absence reporting and increase the substitute fill rate.
- Insures all Substitutes are utilizing the electronic employee timekeeping system to record time worked.
- Assists in running reports for substitute fill rate and daily entries in electronic employee timekeeping system and electronic absence reporting system.
- Assists and responds to inquiries from applicants and substitute employees; explains routine Talent Management procedures.
- Enters new substitutes into systems and maintains confidentiality of employee data; verifies criminal background clearance; confirms applicant credentials are accredited.
- Creates and maintains electronic files for substitutes by scanning and attaching documents to the substitute file; verifies TRS status; ensures proper routing and clearance of files.
- Inputs and maintains accurate and timely recordkeeping of automated systems; ensures inclusion of information from required sources and accuracy of records; ensures that new hires and other personnel actions are processed by scheduled payroll deadlines.
- Reviews and verifies substitute documents and system codes to ensure accuracy and to support statistical reporting.
- Works collaboratively, provides support, and proactively contributes to knowledge sharing with District staff.
- Participates in special projects.
- Compiles and generates data to support supervisor report requests.
- Reviews and verifies employee documents, and termination codes to reflect rehire eligibility of the applicant.
- Maintains accurate data.
- Performs preventive maintenance on tools and equipment and ensures equipment is in safe operating condition.
- Follows established safety procedures and techniques to perform job duties including lifting and climbing; operates tools and equipment according to established safety procedures.
- Corrects unsafe conditions in work area and promptly reports any conditions that are not immediately correctable to supervisor.

- 3 years' in technical customer service or detailed work that includes the use of arithmetic, research, and maintaining detailed records, as well as maintaining confidentiality while collaborating with staff required;
- 1 year' working with Smartfind/Kronos information systems preferred.

Position Purpose
Promotes best practices in substitute services with a goal of increasing the daily job fill rate. Technical and transactional functions include data-entry, document collection, employee file management, and facilitation of communication and meetings. Assists with strategic communications to substitutes including recruiting, interviewing, and onboarding training.
