      Medical Records Specialist Lead

      GENERAL SCOPE OF WORK

      The Medical Records Lead is the go-to organizer and behind-the-scenes hero of the medical records department. In this role, you'll keep daily operations running smoothly by overseeing workflows, managing record requests, and ensuring all documentation is accurate, secure, and easy to access.

      You'll play a key role in maintaining efficiency and compliance while supporting your team. From organizing patient charts to helping hire and train staff, you'll collaborate across departments and ensure all records are handled with care using both paper and electronic systems.

      EDUCATION & EXPERIENCE

      • High School Diploma or GED preferred
      • Preferred qualifications:
        • 2+ years in a medical or client-focused environment
        • Data entry experience
        • Previous medical records experience

      WHAT YOU'LL BE ROCKING (ACCOUNTABILITIES)

      • Manage record completion, storage, and retrieval to keep everything organized and accessible
      • Lead, support, and help develop the medical records team
      • Ensure records are released accurately and in full compliance with regulations
      • Maintain strict confidentiality and follow all policies and procedures
      • Provide excellent customer service to internal and external stakeholders
      • Support audits and ensure compliance with HIPAA and other regulatory standards
      • Track, monitor, and report key data such as transfers and record requests
      • Accurately enter and manage records in electronic systems
      • Assist with special projects and continuous improvement efforts
      • Remain flexible and ready to support department needs as they arise

      SKILLS & COMPETENCIES

      • Strong organizational skills and attention to detail
      • Ability to manage multiple priorities and meet deadlines
      • Knowledge of confidentiality and compliance standards
      • Comfortable working with both paper and electronic filing systems
      • Strong communication and teamwork skills
      • Basic computer skills, including email and data entry
      • Familiarity with standard office equipment

      BASIC JOB REQUIREMENTS

      • Ability to sit for extended periods and move throughout the clinic as needed
      • Occasionally lift up to 15 pounds
      • Communicate clearly and professionally, both in person and over the phone
      • Strong time management skills and ability to work under pressure
      • Fluent in reading, writing, and speaking English
      • Basic computer proficiency

      Additional Requirements:

      • Must be at least 21 years old
      • Ability to obtain a Level 1 fingerprint clearance card
      • CPR/First Aid certification (or willingness to obtain
