What to Expect (Job Responsibilities):
- Manage high-volume communications and serve as the first point of contact for callers
- Coordinate calendars across time zones and schedule consultations, meetings, and court calls
- Organize and manage digital documents securely and maintain virtual office systems
- Draft administrative email responses and prepare communications using approved templates
- Monitor general inboxes, triage messages, and escalate urgent matters as needed
What is Required (Qualifications):
- Minimum of 2 years of experience in a receptionist, administrative assistant, executive assistant, or office manager role
- Experience in supporting professional services environments, preferably legal or high-touch client service teams
- High level of discretion and confidentiality required
- Availability for a full-time schedule: Monday to Friday, 8:00 AM to 5:00 PM EST
- Time zone alignment required with Eastern Time
How to Stand Out (Preferred Qualifications):
- Familiarity with RingCentral or similar VoIP phone systems
- Proficiency in Google Workspace, including Gmail, Calendar, and Drive
- Experience with virtual meeting platforms such as Google Meet
- Knowledge of email inbox management and digital filing systems
- Bilingual in English and Spanish
